Getting started with the AI Office Assistant

Prepare your business details, choose how calls should be handled, test the experience, and move from setup to a controlled launch.

Prepare the details a receptionist would need

A reliable setup starts with approved business facts. Gather the services you want the assistant to discuss, the areas you serve, business hours, preferred caller details, and the next step for each common request. Include only information your team is comfortable using in a live customer conversation.

Choose a real employee, alternate number, or voicemail destination for calls that should not stay with the assistant. Also decide which situations need an immediate transfer, which can become a message, and which require a team member to review the call after it ends.

  • Business name, service area, hours, and time zone
  • Approved services, FAQs, and appointment-request rules
  • Caller details your team needs for follow-up
  • Transfer, fallback, notification, and recording decisions

Create the account and business profile

Start the setup flow from the AI Office Assistant page. Create or sign in to your VizionSpace account, confirm the business you are configuring, and review the generated profile before it becomes part of the call experience. Correct names, hours, service descriptions, and contact details at this stage instead of relying on the assistant to infer missing information.

The business workspace keeps configuration and call activity associated with the authenticated account. If the account already has an active workspace, the product routes back to its dashboard rather than creating a second setup.

Choose the voice and phone path

Preview the available voices and select the one that fits the pace and tone your callers should hear. Then choose a new AI phone number or plan how calls from the existing business number will reach the assistant. Selecting an available number does not by itself start billing; checkout and the applicable trial terms are shown before launch.

Businesses that want to keep advertising an established number can forward calls to the AI number or request a number transfer. Forwarding is usually the fastest operational path, while a transfer requires carrier details, authorization, and coordinated timing.

Define the call flow and test real scenarios

Configure the greeting, approved knowledge, intake fields, business hours, transfer destinations, fallback behavior, and notifications. Use the test experience to call as a new lead, an existing customer, an urgent caller, and someone asking an unsupported question.

Review whether the assistant asks for the right details, avoids guessing, and leaves every caller with a clear next step. Correct the underlying business information or rule when a test exposes a problem; do not patch one transcript with a narrow phrase that may fail on the next call.

  • New lead requesting a service or estimate
  • Appointment request inside and outside business hours
  • Transfer destination answers, declines, or is unavailable
  • Question whose answer is not in the approved knowledge

Review billing, activate, and monitor the first calls

Before checkout, review the selected plan, included AI conversation minutes, overage rate, billing interval, and trial terms. After activation, place one final call through the real phone path. Confirm routing, notifications, transcripts or summaries, and any recording notice. Monitor the first completed customer calls in the dashboard and adjust the configuration when the business process changes.
